Building an Expired Listings Prospecting Database

Learn how to quickly put together a database of Expired/Terminated Listings for prospecting purposes on AUTOPROP!

AUTOPROP makes it easy to identify expired and terminated listings that have not been relisted or sold, helping you build highly targeted prospecting lists.

This workflow uses Paragon Residential Comparables, Excel, and AUTOPROP's property selection tools to create a database of potential leads.

Step 1: Select a Search Area

Start by navigating to the area you would like to prospect.

  1. Right-click on a centrally located property.

  2. Click Property Report.


Step 2: Load Comparable Listings

To speed up the search, configure the report to load only comparable listing data.

  1. Click Adjust Report Contents.

  2. Deselect all data sources except Paragon Residential Comparables.

Within the Paragon Residential Comparables section:

  1. Include the following listing statuses:

    • Expired

    • Terminated

    • Active

    • Closed

  2. Select an appropriate:

    • Search radius (typically 2–10 km)

    • Property type

    • List date range

    • Sold date range

For example:

  • List Date: Last 9 months

  • Sold Date: Last 3 months

Click Update.

Once the search completes, the listings will be displayed on the map.


Step 4: Export the Listings

Click Export Table to CSV and save the spreadsheet to your computer.

Open the exported file in Excel.


Step 5: Identify Duplicate PIDs

The goal is to find expired or terminated listings that have not subsequently sold or been relisted.

Highlight Duplicate PIDs

  1. Select the PID column.

  2. Click Home → Conditional Formatting → Highlight Cell Rules → Duplicate Values.

  3. Click OK.

Duplicate PIDs will now be highlighted.


Step 6: Enable Filtering

  1. Select the entire spreadsheet.

  2. Click Data → Filter.

Filter controls will appear in the column headers.


Step 7: Isolate Expired and Terminated Listings

Using the Status filter:

  1. Deselect:

    • Active

    • Sold

  2. Leave selected:

    • Expired

    • Terminated

You will now be viewing only expired and terminated listings.


Step 8: Remove Relisted Properties

To remove properties that appear multiple times due to relisting activity:

  1. Select the PID column.

  2. Click Data → Remove Duplicates.

  3. Click Deselect All.

  4. Select only PID.

  5. Click OK.

This leaves a list of unique expired and terminated listings.


Step 9: Load the Properties Back into AUTOPROP

  1. Copy the remaining PIDs from Excel.

  2. Open AUTOPROP.

  3. Click Manual PID Entry.

  4. Paste the PIDs.

  5. Click Search.

The properties will now be highlighted on the map.


Step 10: Load Additional Property Data

Open the Properties Table and click Load Data to load in any additional information you would like to analyze, such as:

  • Sales History

  • Assessment Values

  • Property Characteristics

  • Ownership Information

  • Lot Size

This data can help you prioritize your prospecting efforts.


Step 11: Export Your Prospecting Database

Once you've loaded the desired data:

  1. Export the selected properties to Excel.

  2. Save the spreadsheet as your prospecting database.

You now have a targeted list of expired and terminated listings that have not been relisted or sold.

  • Deliver branded Property Reports to prospective clients
